This is the documentation for setting up a departmental printer. If you want to set up a hallway printer, you can find the documentation for that HERE.
Display the IP address of a printer (Canon) #
If you don’t know your printer’s IP address, it can also be displayed on the printer itself. To do this, tap the “123-symbol” in the lower-right corner of the printer’s screen.

A window will then open, displaying the IP address of your printer in the upper-right corner.

Windows #
Printer setup #
In the Windows search (search field at the bottom left of the taskbar or press the Windows key and type directly), enter “Printers and Scanners” and select the following option.

You will now see a window displaying all the printers that have been set up. In the top right corner, there is an option called “Add device”. Click on it and wait a moment while the computer searches for printers.

After a few seconds, the option “Add manually” should appear. Click on it to set up the printer manually.

The following window will now open. Select the option “Add a printer using an IP address or hostname” and click “Next”.

In the next window, select “TCP/IP Device” as the device type. In the “Hostname or IP address” field, enter your printer’s IP address. The “Port name” field will be automatically filled in when you enter the IP address, so nothing needs to be entered here. Then click “Next”.

If the driver is already installed on your device, select the option “Use the driver that is currently installed” and click “Next”. If the driver is not yet installed, you can find it on your printer manufacturer’s website. On the site, search for your printer model and choose the “Postscript driver” for your operating system (Windows 11/Windows 10).

- HP: https://support.hp.com/at-de/drivers
- Brother: https://www.brother.de/support/treiber
- Epson: https://www.epson.at/de_AT/support

In the next window, you can choose a display name for your printer. By default, the exact model name is entered, but you can customize it as you like.

The following window will then open. Select the option “Do not share this printer” and click “Next”.

Finally, you can print a test page to check if the printer is working. Click “Finish” to complete the setup.
Change printer driver (KM -> Canon) #
If a printer with the same IP address but a different model was previously set up on a device, you generally only need to update the driver.
In the Windows search, look for “Printers and Scanners”.

A list of all connected printers will then be displayed. Select the printer for which you want to update the driver and click on “Printer Properties”.

In the Properties window, click on the “Ports” tab and check the IP address to ensure it corresponds to the correct printer.

Next, click on the “Advanced” tab. For the Driver section, click the downward arrow to open the drop-down menu. Select the “Canon Generic Plus PCL6” driver and click “Apply”. Processing may take a moment.

In the “General” tab, you can now also customize the display name of the printer as desired.

Mac OS #
Open the System Settings (shortcut in the Dock or via Spotlight search) on your Mac. Search for “Printers” and select the option “Printers & Scanners”.

A new window will open, listing all connected printers. Click on “Add Printer, Scanner, or Fax…”.

In the next window, you need to enter some information about your device:
- Address: IP address of the printer
- Protocol: LPD
- Name: Enter a desired name, e.g., Office Printer Canon
- Use: Click on “Select Software” and choose the driver for the model.
You can find drivers on the respective manufacturer’s website. Search for your model there and select the PS Printer Driver. Open the downloaded file and run the “.dmg” file. Before doing so, check your installed macOS version to find the appropriate driver (Apple icon in the top left -> About This Mac). Below are links to the websites of some common manufacturers:
- Canon: www.canon.at/support
- HP: https://support.hp.com/at-de/drivers
- Brother: https://www.brother.de/support/treiber
- Epson: https://www.epson.at/de_AT/support
Once you have selected the correct driver and filled in all the required information, click on “Add”.

Depending on the model, an additional window may open listing the printer’s functions. Click “OK” and the printer is now set up and ready to use.
