Connecting to the Chat Server #
The following step is not needed if you connect to the Chat by using your website browser.
- Open the application and enter „https://chat.uni-ak.ac.at“ in the server URL. Click on „CONNECT“
PLEASE NOTE: If you use Rocket.Chat in Windows 7, you have to click on the “+” symbol in the server list on the left hand side in order to open this window.
- Click on „LOGIN BASE“
- A pop-up window will open and you can enter your p-/s-number plus usual Base password
You are now connected to the University Chatroom.
You will be automatically added to your department-specific public channels as well as to the standard channel of #rocket-feedback. More about this under the next item.
Overview of Chat Types #
There are 5 types of chats in Rocket Chat that differ from each other in a number of functions.
- Public channels: Open channels visible to all staff members and students. They are marked with the # hash symbol.
- Private channels/groups: They are only visible to invited users and marked with a lock symbol.
- Direct messages: Use this function to send a private message to another user.
- Discussions: They always refer to a message from a user and can be created in any of the channels or the direct messages. Discussions are chats on a subordinate level, so to speak.
- Threads: They are similar to discussions but without a new window being opened and you can directly answer a chat message in the existing channel.
Administration of Chats #
Public Channel #
Users cannot create public channels.
Click on the Search function (magnifying glass) to join a public channel of your study programme (studri) or organizational unit (oe).
After you selected a channel, you now only have to send a message within this channel, or click on „Beitreten “ (join).
Private Group #
You can create a private channel as follows (see screen shot).
To invite users, just enter the name of the persons in the field „Add Members“.
To administrate a channel, you first need to select it and then go to the “Members” option in the top right hand corner to either add further users or remove someone from the channel. This option is only available to the owner of the channel.
With the „More“ symbol you can set further adjustments for the channel. For instance, in the notification settings you have the option to put certain chats on mute.
To exit a channel, click on the channel itself and then on the „More“ symbol next to the channel name. The symbol offers further options.
With the option „Hide“ you can blank out the room temporarily. The room will be shown again as soon as you receive a chat message in this channel. You can also find the channel any time with the Search function.
If you are the owner of the channel, you can delete the channel in the option „Room Information“. By clicking the „More“ Button you can also leave the chat.
Direct Message #
There are various ways to send a direct message to a user.
You can either use the Search function to look for the name of the user you would like to contact. This will work provided the user has already registered for chats.
Or you can click on the name or picture of the user and then on „Direct Message“.
Threads #
Threads always refer to a user message and can be created in channels as well as in direct messages.
To create a thread you only need to click on the speech bubble next to the message you want to reply to.
Threads are visible to all users of the channel and anyone who may participate.
Sharing Files #
You can share a file with either Drag and Drop or the „paperclip-icon“ (the „+“ symbol on mobile devices) in the input box of the chat.
The following file types are permissible: *media/*audio/*video/pdf/txt
The following file types are regarded as unsecure and are NOT permitted:
*Office documents (e.g.: *.docx, *.doc, *.xls, *.xlsx, *.ppt, *.pptx, *.mdb, *.pub) / exe (Windows Executable File)
For uploading and sharing your Office documents, please continue to use the usual: cloud.uni-ak.ac.at
Displaying User Email Address #
To view the email address of a user, click on the name or the picture of a user. Now click on the option “See full profile”, to open the user info. Here you can see the e-mail address of the user.
My Account #
For an efficient and comfortable use of Rocket.Chat, it is important to adjust the personal settings to your own requirements.
This can be done under „My Account“.
There are two sub-level items: „Preferences“ and „Profile“.
Preferences #
Overview of the most important settings:
Localization: Here you can change the language.
User Presence: Here you can change the timespan to lapse before your status changes to „away“ for other users.
Notifications: Here you can activate/deactivate your desktop notifications, and much more.
Messages: Here you can adjust various settings for the display of messages, emojis, or pictures.
Sound: Here you can change the notification sound and volume.
Profile #
Here you can add to your profile picture by uploading an image of your choice, or create a status message. However, it is not possible to change the name, user name, email address, or password.
Remember to click on „Save changes“ to ensure that changes are saved.
